STUDENT ADMINISTRATIVE CLERK

 

Part time hourly paid position(s): May – August

                                                     September - April

 

The Student Administrative Clerk is responsible for the operations of the general office and reception area of the UWSA.  He/she will be a student at the University of Windsor who would provide information and service support to the UWSA executive and staff as well as general membership.  He/She will report directly to the Operations Manager, be able to work in a fast paced and changing environment and be customer service oriented.

 

 

Specific Accountabilities:

 

i)                  Answer questions and respond to general inquiries from campus or community individuals.

ii)                Assist the Executive and staff with appointment scheduling, correspondence follow-up, mail sorting, and phone operations.

iii)              Assume all clerical administrative duties as deemed necessary.

iv)              Open and close the Uwsa front office and reception area

v)                Reconcile daily sales and cash.

vi)              Administration of but not limited to Greyhound Bus Tickets, International Student Cards (ISIC), Fax Service, Exam Bank, and any other such services developed.

vii)            Assist student groups with banking requirements.

viii)          Assist Executive and staff with any projects as required.

ix)              Take responsibility for the upkeep of the front office and reception area.

x)                Arrive on time and prepared to work for each shift as scheduled

xi)              Other duties as assigned.

 

 

CAW STUDENT CENTRE INFORMATION DESK STAFF

 

Part time hourly paid position(s): May -August

                                                     September – April

 

Applicants must be prepared to work some late night shifts as the desk operates 24 hrs. 7 days a week.

 

The CAW Student Centre Information Desk is open 24 hours a day, 7 days a week. As a representative of the University the CAW desk must provide superior customer service to the many students, faculty, staff and visitors that request information about the university and the Caw student centre and the services that it provides.

 

 

Specific Accountabilities

i)                  Respond to questions and concerns of customers

ii)                Monitor activity within the Student Centre.

iii)              Issue and validate student cards.

iv)              Sell photocopy cards and centre lockers

v)                Assist student groups as required.

vi)              Oversee Student Centre activities and equipment.

vii)            Keep accurate log record of activities in the Student Centre during shift.

viii)          Maintain university switchboard after business hours.

ix)              Dispatch Walksafe walkers as required.

x)                Keep accurate log records of Walksafe calls & nightly activities.

xi)              Correspond with Student Centre Staff and Campus Police.

xii)            Coordinate movie nights.

xiii)          Other duties as assigned.

 

 

USED BOOKSTORE STAFF

 

Hourly paid contract position: September – October

 

Used Bookstore Staff are required in September as well as in January to assist with the running of the UWSA Used Bookstore. Staff will be required to coordinate the set up, maintenance and running of the Bookstore during working hours.

 

Specific Accountabilities

 

i)                  Distribution of used bookstore registration forms and collection of books for sale.

ii)                Inputting of all inventory registration information

iii)              Sorting and categorizing of books in bookstore

iv)              Monitoring of bookstore and cashier duties during sales period for store

v)                Reconciling books with sellers and issuing reimbursement cheques at end of bookstore sales period.

 

 

 

CAMPUS COMPASS ADVERTISING REPRESENTATIVE

 

Commissioned position: May – September

 

The UWSA's Campus Compass and Summer Mail out publications are a primary source of information and advertising for our student population as well as the university staff and the community at large. Advertising space within both publications can be purchased by various campus offices and vendors as well as by the public at large.

 

Specific Accountabilities   

 

i)                   Acquiring interested parties to purchase ad space within publications

ii)                  Coordinating the delivery of advertising material from the client to the design department

iii)                Ensuring collection of materials in timely manner




 

 

 

Academic Advocate


The UWSA and the University of Windsor is pleased to announce the hiring of the Academic Advocate for the 2010-2011 academic year. 

The successful candidate will join the office as a co-Academic Advocate and will be employed on a part time basis during the academic year.  This is a paid position.  The position is open to all students of the University of Windsor who will attend the university in the 2010-2011 academic year.  Successful candidates will have a working knowledge of University bylaws and procedures, demonstrate strong communication and interpersonal skills, and will be a self-starter.

Responsibilities

  • Promote the understanding and application of the University of Windsor’s By-laws.
 
  • Advise and assist students in matters related to academic discipline or other academic rights matters, including but not limited to: guiding students through the appeal process and advising students on their academic rights.
 
  • Provide students information on their rights and responsibilities, as well as procedures to resolve academic or non-academic issues.
 
  • Receive and refer complainants to other campus resources as appropriate.
 
  • Facilitate the investigation of any concerns or complaints presented by a student, former student or applicant.
 
  • Review policies, procedures, regulations, rules, and criteria and recommend any changes thereto that are necessary to ensure prompt decision making, appropriate procedures and protection of the rights of students.
 
  • Provide assistance to students who are appealing an academic or disciplinary action and are appearing before a residence, faculty, Senate or University committee.
 
  • Liaise with administration, staff, faculty, and student groups as appropriate.
 
  • Report to stakeholders for the purposes of reviewing conduct, reporting trends, and recommending changes as appropriate.
 

SHINERAMA COORDINATOR

 

Honorarium position: May –

 

The Coordinator is selected by UWSA in accordance with their bylaws, which govern the appointment of coordinators and commissioners.

 

The coordinator may appoint a volunteer administrative team.  The coordinator may appoint a co-coordinator if he/she wishes, and together they may appoint a volunteer administrative team.

 

Shinerama is Canada's largest postsecondary fundraiser involving students at more than 60 university and college campuses across Canada with proceeds going to the Canadian Cystic Fibrosis Foundation.  The UWSA Shinerama Coordinator will be responsible for overseeing all aspects of the University of Windsor Shinerama Campaign including the planning and execution of Shine Day and other events as well as sponsorship attainment.  

 

Strong leadership and organizational skills, developed public speaking, writing, special event and budget management skills are an asset.  Creativity and enthusiasm are essential!

 

Specific Accountabilities

 

i)                  organize all aspects of shinerama activities and shine day

ii)                organize all needed volunteers

iii)              properly advertise event and any acquire any needed sponsorship

 

 

COORDINATORS – WOMYN’S CENTRE

 

Honorarium offered for position:  May – April

 

The Coordinator is selected by UWSA in accordance with their bylaws, which govern the appointment of coordinators and commissioners.

 

The coordinator may appoint a volunteer administrative team.  The coordinator may appoint a co-coordinator if he/she wishes, and together they may appoint a volunteer administrative team.

 

The Womyn’s Centre exists to provide a comfortable environment for women on campus and allows for a space to freely discuss and promote the rights of women and children. The Womyn’s Centre Coordinator is responsible for providing a women’s issues program to the University of Windsor campus.  He/she is responsible for the supervision of the student volunteers and must be committed and sensitive to the need of increased awareness of women’s issues.

 

 

 

 

 

Specific Accountably

 

i)                  Responsible for the operating of the Womyn’s Centre

ii)                Promote women’s issues on campus through the use of theme weeks, speakers, forums, videos, and other general educational tools

iii)              Responsible for the recruitment of volunteers to the Centre

iv)              Post and maintain regular office hours;

ii)              Maintain a current lending library of relevant information for students;

iii)              Publish brochures, pamphlets, and posters, etc.;

ii)                Report to the operations Manager and submit a comprehensive report to the Operations Manager at the end of each semester;

iii)              Serve as a resource person for students seeking women’s issues information

COORDINATORS – WALKSAFE

Honorarium offered for position: May- April

 

The Coordinator is selected by UWSA in accordance with their bylaws, which govern the appointment of coordinators and commissioners.

 

The coordinator may appoint a volunteer administrative team.  The coordinator may appoint a co-coordinator if he/she wishes, and together they may appoint a volunteer administrative team.

 

Walksafe exists to provide a safe and comfortable environment for students by providing a service of accompanying them on travels across campus or on their walks home. 

The Walksafe Coordinator is responsible for providing a walking patrol program to the University of Windsor campus.  He/she is responsible for the supervision of the student volunteers and must be committed and sensitive to the needs for increased awareness of safety on campus.

 

RESPONSIBILITIES:

i)                  Supervise and direct the operation of Walksafe.

ii)                Take primary responsibility for the recruitment and development of Walksafe volunteers.

iii)              Post and maintain regular office hours.

iv)              Facilitate the training of the Walksafe volunteers in conjunction with the Campus Police designate.

v)                Design and maintain the patrol schedule and statistical records.

vi)              Ensure the appropriate number of patrol teams are available each night.

vii)            Ensure the availability of communication equipment, uniform, and other supplies for the efficient operation of the program.

viii)          Attend various meetings to present information concerning Walksafe

ix)              Promote the services of Walksafe to facilitate public awareness and education concerning issues relevant to the program.

x)                Act as a liaison between Walksafe and Campus Police Services.

xi)              Conduct meetings with Administrative Team and volunteers to discuss and resolve problems of policy and procedure, and disseminate information.

xii)            Report to the Operations Manager and submit a comprehensive report to the Operations Manager at the end of each semester.

xiii)          Fulfill any other duties as assigned by the VPF&O and/or Operations Manager.

 

COORDINATOR – STUDENT GROUPS

 

Honorarium offered for position: May –April

 

The Coordinator is selected by UWSA in accordance with their bylaws, which govern the appointment of coordinators and commissioners.

 

The Groups coordinator is responsible for ensuring the smooth operation of the UWSA club and society system and that decisions of the Board are clearly communicated to those affected and are implemented.

 

Specific Accountabilities

 

i)                  Administer ratification for all clubs and societies

ii)                Process file and organize all paper work on groups

iii)              Ensure that all groups have access to and are aware of all current policies and procedures.

iv)              Act as liaison between the clubs and UWSA 

v)                Work with any necessary campus offices to supply information about various groups and facilitate group activities and room bookings

vi)              Organize and run club days  and the Club Summit

vii)            Administer club and society banking as assigned by the VPFO

 

 

 

COORDINATOR – CHIEF RETURNING OFFICER (CRO)

 

Honorarium offered for position: May –September

 

The Coordinator is selected by UWSA in accordance with their bylaws, which govern the appointment of coordinators and commissioners.

 

The CRO runs all UWSA elections, in the fall and in the spring, and oversees all society elections.  It is the job of the CRO to ensure that all elections are run fairly and that all members of the UWSA are aware of the elections, the nomination periods, and the election results.

 

RESPONSIBILITIES:

i)                  Shall be an Officer directly responsible to Council.

ii)                Oversee All Elections.

iii)              Oversee all Referenda.

iv)              Post and maintain regular office hours during Election and Referenda schedules.

v)                Be responsible for implementing the electoral procedures, following the electoral by-law.

vi)              Chair the Electoral Monitoring Committee (EMC).

vii)            Make all rulings that cannot await a meeting of the EMC.

viii)          Be a member of the University’s Senate Electoral Procedures Committee.

ix)              Adhere to all the corporation’s rules, regulations, policies and procedures.

x)                Serve on any such bodies as required by virtue of the position.

xi)              Fulfill any other duties as assigned by By-Law, Policy or Resolution.

 

 

COORDINATORS – COUNCIL CHAIR

 

The Coordinator is selected by UWSA in accordance with their bylaws, which govern the appointment of coordinators and commissioners.

 

The Council Chair conducts and facilitates all meetings of Council and ensures that they run in an efficient manner, following the bylaws and the procedures set in Robert’s Rule of Order.

 

Specific Accountabilities

i)                  Shall be an Officer and directly responsible to Council

ii)                Shall preside at all meetings of the members

iii)              Very clear understanding of Robert’s Rule of Order procedures.

iv)              Shall not vote at any proceeding or any meeting over which he/she presides

v)                Responsible for preparing and delivering agenda, keeping records of motions

vi)              Chairing Council meetings in accordance with the binding rules and procedures;

vii)            Preparing the agenda for Council meetings;

 

Serving on any such bodies as required by virtues of the position

 
COORDINATORS – COUNCIL SECRETARY

 

The Coordinator is selected by UWSA in accordance with their bylaws, which govern the appointment of coordinators and commissioners.

 

The Council Secretary ensures that accurate records are kept of all Council meetings.  All Council and Board meeting minutes are available at the UWSA office.

 

Specific Accountabilities

i)                  Shall be responsible for the taking of minutes of the general council meeting in accordance with the binding rules and procedures; preparing the final copy for distribution to the members;

ii)                Preparing the materials and other documents for Council meetings

iii)              Shall attend all general council meetings including Annual General Meeting and any emergency council meetings;

iv)              Shall serve on any such bodies as required by virtue of the position

v)                Shall be responsible for the current upkeep of the bylaws and ensuring that the bylaws are put into the official records of the corporation;

vi)              Maintain a complete set of minutes, motions, reports to be handed in at the end of the year.
